1. Challenge
This international event, one of the world's most relevant astronomy congresses, was attended by nearly 2,000 leading specialists in the field, such as Michel Mayor and Didier Queloz, discoverers of the first exoplanet orbiting a star like our Sun, which earned them the 2019 Nobel Prize in Physics.
The event posed significant technical challenges as it offered 15 Symposia, 36 Special Sessions, more than 600 papers and 1,000 ePosters, all of which could be streamed for speakers and attendees who were not at the venue and at the same time connected to translators who were also attending online.
In addition, the organisation wished to make a strong commitment to sustainability, in all areas of the event, by creating a social programme that would serve as an immersion in Valencian culture and folk traditions for those attending
2. Solution
In terms of technical solutions, the Palacio team provided sessions in 13 rooms simultaneously. Due to the large number of presentations, the audiovisual resources and connectivity ensured that up to 20 participants were able to speak every hour. The collaboration between the Kuoni and Palacio teams made it possible to translate and broadcast sessions in streaming via the On Air platform. In addition, in order not to exceed the capacity of each room, the Overflow system was used, sending video and audio from rooms where the meetings were taking place to other spaces, thus increasing the number of participants.
The Palacio's digital media and connections were also essential to enable LED screens for signage, or digital content download points.
In terms of sustainability, the Palacio provided attendees and organisers with its waste sorting system, collecting the waste from the paper, plastic and carpet used during the event to be treated and recycled afterwards. The materials of the booths as well as the furniture were recycled and recyclable. And the catering service, contributed to food sustainability through the use of sustainable tableware and take-away formats.
